Psychiatrist and academic research fellow has access to his
extensive data at all times

Dr. Douglas Kondo is an adult and child psychiatrist and research fellow at a prestigious US University. He uses a laptop and two desktop computers at two different office buildings. Dr. Kondo has a tremendous amount of documentation, protocol budgets, large archives, academic research and various drafts that he constantly works on and needs availability to.

Dr. Kondo came across an article on BeInSync in the technology section of a journal. At the time, Dr. Kondo was using a USB flash drive to transfer his information from one computer to another. This method proved to be inconvenient and problematic when dealing with different versions of files. He also recalled a saying that a friend once told him: "There are 2 kinds of people in the world, people who backup their data, and people who don't". And indeed, with BeInSync, Dr. Kondo would be able to safeguard his data since BeInSync ensures a backup always exists on another machine.

Since it is vital for Dr. Kondo to have all of his data from all three computers at his fingertips at all times he recognized the value of a tool that would help him achieve these objectives. Bearing this in mind and the fact that he is not computer savvy he decided to try out BeInSync. After trying out BeInSync he knew that he couldn't go back to using a USB flash drive and to backing up his thousands of files on CD-ROMs which is a time consuming task.

Now he doesn't have to think about any of this at all. "You never have to wonder about the whereabouts of a certain article because it's always available to you from every computer". He has constant access to his archives and is able to be on top of the latest academic research, medical journals and articles that exist on his multiple computers. Furthermore, whenever Dr. Kondo finds an article for reference, he saves it to his computer and the reference will automatically be available on all 3 computers.

"It was unbelievable to see the synchronization happen. Once I made a change to one of my files, I saw the change on my other computers. It's remarkable how fast this happens".

An added value is that Internet Explorer favorites are synchronized between all computers. In the past Dr. Kondo says that it was daunting to have a different list of Internet Explorer favorites on each computer.

Dr. Kondo also used BeInSync's remote Web access on several occasions from outside the university. "You don't have your computer on you at all times, or think that you are going to need it. With the BeInSync Web interface you just log into your information and its right there".

Dr. Kondo finds BeInSync to be a remarkably flexible, seamless and useful tool, and intends on trying out the group shares functionality in the future, in order to share and keep data in sync with others. He is very grateful for the product. BeInSync answered his needs, and in a fundamental sense changed how he worked.

How does it work?

But when Kevin started using BeInSync, he simply configured it to keep his files and his assistant's files in sync, so they are both up-to-date with the most recent documents at all times. For example, when putting together an offer, the 100-page disclosure packets are scanned and BeInSync quickly and automatically updates them at Kevin's assistant's computer as well. Once Kevin's assistant gets these documents signed, she turns them into a packages them and saves them on her computer. This is where BeInSync kicks in again and updates Kevin's laptop with all the latest files. The result: Kevin is in San Diego, one client is in Fresno, another client in Petaluma, the mortgage broker is in San Rafael, his assistant is coordinating all activities from Seattle!

Making life easier in an architect's office

Dan is the owner of a small five-person architectural firm, dealing mainly with designing healthcare facilities. He, as well as some of the other architects in his firm, often needs to work from home - whether it's on weekends or after hours on weekdays. In the past, in order to be able to do so, Dan had to remember to email himself the documents and drawings he required for his work before leaving the office (and to remember to email these back to the office before leaving for the office again). Sometimes he would use a USB storage device to carry with him his important files back and forth.
